About the Position

The Administrative Assistant to the Academic Dean provides administrative support to the General Studies department. The Executive Assistant to the Academic Dean collaborates with the Student Services Coordinator to support general studies faculty and course delivery.

Duties and Responsibilities:
•Creates and maintains course schedules with information provided by the Academic Dean
•Completes beginning of semester mailing
•Schedules individual student and faculty meetings with the Academic Dean
•Processes mailings by collecting required information, searching and researching as necessary, and reviews all information for content and grammatical accuracy
•Drafts correspondence for the Academic Dean
•Creates new spreadsheets, as requested
•Purchases all supplies for general studies courses according to office procedures
•Completes internet searches and research
•Provides general office support to the Academic Dean, faculty, and institutional staff typical of such positions
•Assists with the management of educational technology
•Manages copying machine (e.g. filling with paper, clearing jams)
•Copies General Studies material, including booklets
•Stocks classrooms with necessary supplies
•Troubleshoots faculty computer issues
•Sets up, breaks down, and monitors testing station
•Manages student job board and other bulletin board postings
•Serves as point person for general studies test proctoring during office hours
•Assists the Office Administrator with events

Minimum Skills/Experience Required:
•College degree preferred
•Three to five years of relevant work experience
•Superior experience with and knowledge of MS Office, especially Word, Excel and MS One Drive; ability to design spreadsheets, with basic knowledge of creating formulae
•Excellent oral and written communication skills
•Good grammar, spelling and basic design ability in MS Office. Ability to draft correspondence
•Ability to research, learn, and implement new programs/technology quickly
•Engaging interpersonal skills for working with a broad range of students, parents, faculty, vendors, and partner school professionals.
